Sports Coordinator Job Description

The Sports Program Coordinator will be responsible for coordinating the extra-curricular sports program (middle & high school) operated by the Rocky View Sports Association.

General

  1. Produce an annual calendar, which includes meetings, dates, tournament dates and other RVSA events.
  2. Send reminders of meetings and deadlines that are printed in calendar.
  3. Produce an annual RVSA budget and set the Sports Plug-in-Fees.
  4. Keep financial records to be reviewed, quarterly by the ESC designate.
  5. Represent the RVSA at Zone and Provincial meetings.
  6. Inform coaches and principals of upcoming coaching courses and seminars
  7. Organize coaching workshops.
  8. Work with the Grounds Department to have fields lined for all outdoor sports.

Administration

  1. Hold coaches meetings before and after each sport season to discuss schedules, rules, etc. and to make recommendations for each sport.
  2. Keep minutes at each sports meeting and send to coaches.
  3. Take sports issues to principals at a sports parameters meeting for discussion and ratification.
  4. Send out notice of motions to principals prior to sports parameters meetings, as well as minutes following the meetings.
  5. Ensure Code of Conduct forms are signed.
  6. Produce/revise the RVSA Handbook.
  7. Book facilities and community use supervisors for all RVSA events.
  8. Purchase and present RVSA awards for divisional events.
  9. Sit on Protest and Eligibility committees when required.
  10. Enforce the policies of the RVSA, SC Zone and ASAA within the RVSD.
  11. Organize the annual Sports Forum (facilities, speakers, agenda, and programs).
  12. Organize the annual Extra-curricular Appreciation and Awards banquet (invitations, speakers, attendance, awards, facilities, programs, finances).

Website

  1. Assess informational needs of various stakeholders.
  2. Design website to meet those needs.
  3. Write website content.
  4. Regularly (almost daily) update content.

Sports

  1. Produce sport schedules based on direction from the RVSA governing body.
  2. Arrange for the appropriate officials to be present at all RVSA events.
  3. Arrange for Sport Therapy Services to be present at the appropriate RVSA events.
  4. Assist in distributing statistics for each team sport during the regular season.
  5. Send final results to each school at the completion of a season.
  6. Submit RV entries to the Zone hosts of Grade 9 Badminton and Track, and High School Badminton, Track and Curling.
  7. Purchase, pick up and deliver the necessary equipment for RVSA hosted events.

Travel

  1. Zone meetings (Spring and Fall).
  2. Picking up and delivering awards to all divisional sports events, sports banquets for High School volleyball, football and basketball, extra-curricular banquet.
  3. Picking up and delivering equipment for Track and Badminton.
  4. Code of Conduct reviews.
  5. Various league games and tournaments to touch base with coaches.
  6. Various meetings with principals, coaches and commissioners.
